Product Catalog: How to Make One That Sells (PDF, Online and WhatsApp)
The product entry that sells, the master sheet that kills outdated prices, and how to publish one catalog as a PDF, on your site and on WhatsApp Business.
A product catalog that sells is your full range, organized, with one entry per product that answers the buyer's questions before they ask. The secret isn't the layout. It's a single master sheet that feeds your PDF, your website and your WhatsApp catalog, so an old price never gets out.
In late October 2026 we asked ChatGPT, Perplexity and Gemini how to build one catalog that works as a PDF, online and on WhatsApp. ChatGPT recommended catalog apps in all three markets and cited those same apps' websites. Only Perplexity suggested one central database, and that idea is the backbone of this guide.
Here's what every entry needs, which format to use, how to build it in 7 steps and the mistakes that cost sales. It's part of our ecommerce section.

What is a product catalog (and what it isn't)
A product catalog lets buyers see everything you sell, compare items and order without asking you the basics.
A product catalog is a document or web page that presents a company's range with one entry per product: photo, name, description, variants, price or terms, and how to order. It can be printed, a PDF, an online catalog or a catalog inside a messaging app. Its job is to sell when you aren't in the room.
What it isn't: an online store. A catalog shows and makes ordering easy, but it doesn't always take payment. It isn't your inventory either, which tracks how many units you have. Product catalog management is about what you sell and why someone should buy it.
What is an interactive catalog?
It's a digital product catalog with working links: each item opens its product page, a WhatsApp chat or the cart. A PDF with links already counts. Page-flip versions look fancier, but what sells is every click ending in an order.
What every entry needs: a product catalog template you can copy
Every entry needs the same seven fields, always in the same order, so buyers can compare at a glance.
| Field | Example (ceramics studio) | Why it matters |
|---|---|---|
| Main photo | Mug on a white background, daylight | It's the first thing people look at |
| Clear name | Harbor Glazed Mug, 12 oz | Makes sense without the photo |
| SKU | MUG-HBR-12-BLU | Orders without mix-ups |
| One-line benefit | Dishwasher and microwave safe | Answers the question that stalls a sale |
| Variants | Blue, sand and white | Stops the "do you have it in...?" messages |
| Price or terms | $28, shipping extra | No price, and many people won't ask |
| How to order | QR code or link to the page and chat | One step, not three |
The benefit is what separates a catalog that sells from a price list. "Stoneware" is a feature; "dishwasher safe" is why someone buys. If you sell wholesale, add dimensions, case pack and minimum order, because store buyers need them to place a purchase order.
Should you show prices in your catalog?
For retail, almost always. "Call for price" stops casual browsers and fills your inbox with questions that never turn into sales. Save it for quoted work: custom furniture, wholesale tiers or large orders.
Wholesale catalog and line sheet: what to include
A wholesale catalog is a retail catalog that answers the store buyer's three questions: what will it cost me, how many must I buy, and when does it ship. The short version is a line sheet. Makers Row, a wholesale marketplace, describes it as a one- or two-page sales document.
Add these fields to your master sheet:
| Field | Example (candle maker) | Why the buyer needs it |
|---|---|---|
| SKU | CND-CDR-8-WHT | To place a purchase order without mix-ups |
| Wholesale price | $11.00 | What the store pays |
| Suggested retail price (MSRP) | $22.00 | Lets the buyer check margin at a glance |
| Case pack and minimum | 6 per case, $300 opening order | Stores buy in cases, not singles |
| Delivery date | Ships in 7 business days | Planning for the shelf date |
| Payment terms | Net 30 on reorders | Cash flow for a small shop |
The math is what sells it, and it's our own calculation on invented numbers. At $11 wholesale and $22 retail, the store keeps $11 on every candle, a 50% margin on the shelf price. One case is 6 × $11 = $66, so the $300 opening order works out to five cases, or $330.
Decide who sees wholesale prices. Many brands send the line sheet only when a buyer asks or applies, or put it behind a login, so retail shoppers never see what stores pay.
Product catalog PDF, online product catalog or WhatsApp catalog: which one
You don't have to pick one. Each format does a different job, and all three can come from the same sheet.
| Format | Where it shines | Weak spot | How you update it |
|---|---|---|---|
| Trade shows, wholesale buyers, email | Outdated the moment a price changes | Export and resend | |
| Online catalog (website) | Google, social media, any link | Needs a site or platform | Instantly, for everyone |
| WhatsApp Business catalog | Chat support and chat orders | Only exists inside WhatsApp | Instantly, from the app |
The practical rule: the web version is the real one, because it's the only one that updates for everyone at once. The PDF is a dated snapshot, and the WhatsApp catalog is a storefront inside the chat. Your online catalog is also the only one Google can find, so give each product page proper ecommerce SEO.
How many products fit in a WhatsApp catalog?
Up to 500 items, with up to 10 photos or videos per product, according to WhatsApp Business's official catalog guide, checked in late October 2026. That covers most small shops, but don't make it your only catalog: outside WhatsApp, nobody sees it.
Catalog maker: free and paid options, and how to choose
A catalog maker is any tool that turns your product data into a catalog, and the right one depends on where that data lives, not on who has the prettiest templates. They fall into five groups.
| Type | Examples | Best for | Watch out for |
|---|---|---|---|
| Design apps | Canva, Google Slides | A PDF with a small range | Every change is manual |
| Flipbook publishers | Flipsnack | Page-turning, clickable catalogs | Check which features sit behind a paid plan |
| Store platforms | Shopify, WooCommerce | A live online catalog with a cart | You need a store and product pages |
| In-app and ad catalogs | WhatsApp Business, Meta Commerce Manager | Selling inside chats and ads | Locked to that app |
| Catalog software (PIM) | Productsup, Pimcore | Thousands of SKUs and many channels | Overkill for a small shop |
For a free catalog maker, Canva and Google Slides both have free plans, and the WhatsApp Business app is free. Free is rarely the real cost, though. The real cost is retyping prices in three places.
Our rule of thumb, not an industry standard: under 50 products, a spreadsheet plus Canva or Google Slides; from about 50 to a few hundred, a store platform; beyond that, a PIM.
Before you commit, test one thing. Can you export your product list as a spreadsheet? If yes, switching tools later takes an afternoon, because your master sheet is the real catalog.
How to make a catalog step by step
Start with the master sheet, not the design: that is how to create a catalog that stays accurate, and the layout then takes hours, not weeks.
-
Build the master sheet
One row per product or variant and one column per field: SKU, name, benefit, variants, price, stock, photo file and product page link. No SKUs yet? Read what is a SKU and how to create SKU numbers first.
-
Shoot every photo on the same background and light
Plain background, window light, same angle every time. Add one detail or in-use shot per product.
-
Write every entry with the same structure
Name, one-line benefit, two or three key facts and variants. If it doesn't fit in five lines, cut.
-
Order it the way your buyer shops
By use or occasion before material: "gifts", "kitchen", "new in". Best sellers go first.
-
Lay out the PDF and date it
Cover with your brand, a contents page past 12 pages, and "Prices valid from" plus the date in the footer. Export a light screen version and a high-quality print version.
-
Publish the web version
Each product gets its own page and URL. This version is the boss: when a price changes, it changes here first.
-
Add key items to WhatsApp and tie it together with a QR code
Load the products people ask about most into WhatsApp Business. Then use our QR code generator to point a code at the web version, and put it on the PDF, the counter and your business cards.
For step 3, this prompt drafts entries from your sheet without making things up:
Act as a catalog copywriter for a small business. Here are rows from my product sheet with these columns: [SKU, name, material, dimensions, variants, price]. For each row, write a clear name of 60 characters max, a one-line benefit of 15 words max and three key facts. Use only the information in the sheet. If something is missing, write [MISSING] instead of inventing it.
Product catalog design: what actually moves sales
In product catalog design, clarity wins: the same grid, the same photo size and the price always in the same spot.
People read a catalog the way they walk a store: their eyes look for patterns. If photo, name and price always sit in the same place, buyers compare in seconds. Two to four products per page works on a phone; nine only on a wholesale price sheet.
If you sell private label products, the catalog is where your brand shows up whole: same tone, same photo style and same packaging across every entry.
Product catalog management: keep your digital catalog current
A digital product catalog stays alive with one rule: changes go to the master sheet and the website first, and the PDF gets re-exported with a new date.
Set a fixed date, like the first Monday of each month: update prices, sold-out items and new arrivals in the sheet, sync the website and WhatsApp, and export the PDF. Name the file with the date, like "catalog-YYYY-MM.pdf", so you always know which version a customer has.
Whatever you call it, digital or online, if every channel keeps its own list, one of them will end up lying to your customers.
Frequently asked questions about product catalogs
Is it product catalog or catalogue?
Both are correct. Catalog is the standard American spelling and catalogue is the British one, also common in Canada and Australia. If your customers are in the US, use catalog in titles, file names and page URLs, because that is how they search: product catalog gets about 1,900 Google searches a month in the US, according to Google Ads data pulled through DataForSEO in October 2026. Pick one spelling and keep it everywhere.
Does catalog shopping still exist?
Yes, but it moved. Thick mail-order books have shrunk, and IKEA ended its printed catalog after the 2021 edition. Catalogs now live as web pages, PDFs sent by email or chat, wholesale line sheets and in-app shops. People still browse a full range before buying; they just do it on their phones. For a small business, that means one online catalog that is always current, plus a PDF for the moments when a file is easier to share.
How do I make a product catalog for free?
Use free tools and a spreadsheet. Canva and Google Slides have catalog layouts and export to PDF at no cost, WhatsApp Business includes a catalog inside the app, and if you already run an online store, your product pages are your catalog. What isn't free is the time to shoot consistent photos and write tight entries. Start with your 10 best sellers, publish, and add the rest once the format works.
What are the different types of catalogs?
By format, there are printed catalogs, PDFs, online catalogs and in-app catalogs such as WhatsApp Business. By audience, retail catalogs are visual and show the final price, while wholesale catalogs and line sheets list case packs, wholesale prices and minimum orders. By timing, a full-line catalog shows everything you sell and seasonal catalogs cover a holiday or a launch. Most small businesses need one full-line catalog online and as a PDF, plus the occasional seasonal edition.
What is a WhatsApp catalog?
It is a product showcase built into a WhatsApp Business profile. Customers tap your profile, browse items with photos, prices and descriptions, and send you the exact product in the chat instead of describing it. It makes sense in the US if your customers already message you on WhatsApp, which is common with international buyers and some local communities. If they don't, put that effort into your online catalog and your Instagram or Facebook shop instead.
What are some product catalog examples?
Think by business type. A candle maker sends stores a wholesale line sheet with SKUs, case packs and wholesale prices. A furniture shop keeps a PDF with dimensions and finishes for designers. A bakery shares a WhatsApp catalog with this week's cakes. A Shopify store's collection pages are its online catalog. Each one answers what its buyer needs to decide, which is the real test of a good catalog, not how pretty the layout is.
What is the difference between a product catalog and a product feed?
A product catalog is for people; a product feed is for machines. Your catalog is the page or PDF shoppers read. A feed is a structured file, usually a spreadsheet or XML, that sends the same product data to ad and shopping platforms such as Google Merchant Center. Google requires an ID, title, description, link, image link, price and availability for every product, according to its Merchant Center product data specification. If your master sheet already has those columns, you can build the feed from it and keep one source of truth.
